Privacy Policy for CRS Bot

This Privacy Policy explains how the CRS Bot ("the Bot"), owned and operated by Project4 LLC ("we," "us," or "our") for the Crown Racing Series (https://crownracingseries.com), collects, uses, and protects your data when added to your Discord server.

1. Data We Collect

The Bot is designed to minimize data collection. We only store data that is absolutely necessary for the Bot's core functions.

• Server and Channel Data: If a server administrator uses the /set_update_channel command to configure automated race updates, we collect and store the following information in our database:
• Discord Server (Guild) ID
• Discord Server Name
• Discord Channel ID
• Discord Channel Name
• Command Interactions: When users invoke slash commands (e.g., /leader, /driver, /battles), the Bot receives temporary interaction data from Discord (such as the command used and the options provided) to calculate and return the appropriate telemetry or standings.

2. Data We Do NOT Collect

• Message Content: The Bot does not read, log, or store the content of regular user messages. It solely responds to explicit slash command interactions.
• Personal User Data: The Bot does not persistently store individual Discord User IDs, usernames, profiles, or any Personally Identifiable Information (PII).

3. How We Use Your Data

The data we collect is used strictly for the operational functionality of the Bot: * To send automated race updates, announcements, and telemetry to the specific channel designated by your server administrator. * To accurately fetch and display data from the Crown Racing Series database based on user queries.

4. Data Sharing and Disclosure

We do not sell, trade, rent, or share any collected Discord server data with third parties. Data is strictly used internally by Project4 LLC to provide the Bot's services.

5. Data Retention and Deletion

• Server and channel data linked to the /set_update_channel command is retained as long as the Bot remains active in your server and the feature is enabled.
• Server administrators may request the deletion of their server's data at any time by contacting us or removing the Bot from the server. Upon verification, the associated Guild ID and Channel ID records will be purged from our database.
